These are explained on various pages elsewhere, so this serves as an overview to the use of passcodes in SmartOB Prenatal Forms.

There are Three Passcodes in the SmartOB forms. They are for access to the Preferences sheet, the User Tracking Log sheet and for the changing of cell contents. Each passcode can be different.

Passcode to Change Cell Contents

This passcode is set on the Preferences page. By default, there is no passcode set that is required by the user in order to change cell contents. Whether or not you set a passcode for this depends on who has access to the charts and how much you trust their accuracy. After all, you are the one who is ultimately responsible. You can track every change made to the forms but that doesn't prevent a mistake. It may only become apparent after the fact and by then it may be too late.

Passcode to Access User Preferences

This is different than the cell change passcode above and should have a higher level of security. In fact, only the practice owner(s) should have access to this. This is a mandatory passcode and the default value is SmartOB, which is filled in when you attempt to access the Preferences sheet for the first time. You may elect to keep it SmartOB simply by not changing it but you are advised to change it immediately and make it part of your template if employees have access to the Forms. You don't want unauthorized personnel setting the Preferences that you rely on for taking care of patients or turning on/off the Tracking Log or other passwords.

Passcode to Access User Tracking Log

This is different than the cell change and User Preferences passcodes above and should have a higher level of security than the cell change passcode. In fact, only the practice owner(s) should have access to this. As with the User Preferences passcode, this is a mandatory passcode and the default value is SmartOB, which is filled in when you attempt to access the User Tracking Log sheet for the first time. You may elect to keep it SmartOB simply by not changing it, but you are advised to change it immediately and make it part of your template if employees have access to the Forms. Since the purpose of the Tracking Log is to monitor the actions of your office personnel for accountability, you don't want to give them access to this sheet and the ability to delete the contents.
